Purpose
We are seeking a candidate with strong analytical skills, a quick learning mindset, and a strategic approach to problem-solving to join our team as an Administrative Partner to senior executives. This role requires someone who can think critically, adapt to new situations, and develop creative solutions to complex problems. We value individuals who are curious, resourceful, and adept at finding innovative ways to achieve goals.
This role offers a unique opportunity to work closely with senior executives, managing complex tasks and projects in a dynamic environment. Prior administrative experience is not a requirement.

Key Responsibilities

  • Support members of our executive team on various administrative tasks including managing calendars. scheduling events across various time zones, and even interacting with board members or investors if needed
  • Collaborate closely with the CEO’s Executive Assistant to ensure fluid support of administrative needs across the executive team and provide coverage for when she takes time off
  • Help manage the cadence of regular leadership meetings, including planning agendas in advance, organizing logistics and people, and following up on action items
  • Help plan and organize events such as team off-sites and team building activities as needed
  • Help draft internal and external communications on behalf of the executive as needed; draft and material (e.g., Google Slides) for meetings and other modes of presentations in a clear, concise, and visually appealing manner
  • Liaise with the Talent Acquisition team to ensure availability and preparation of executives for interviews
  • Help coordinate onboarding of new hires reporting to the executive, working closely with People Success team members to ensure new hires reporting to executives have everything they need to feel welcome and productive
  • Seamlessly toggle between various systems including Google Suite, Slack, etc to efficiently perform a variety of tasks
  • Run and lead special projects upon request
  • Make recommendations to executives regarding their time management, prioritization, delegation, and organization

Position Requirements

  • Exceptional Organizational Skills: Ability to manage complex calendars, prioritize tasks, and handle multiple projects simultaneously; ability to work effectively in a distributed (remote) environment; exceptional ability to manage time effectively, ensuring the executive schedules are optimized
  • Effective Communication: Strong verbal and written communication skills to interact professionally with executives, stakeholders, and external contacts; completely fluent in both English and Spanish
  • Professionalism: Maintain a high level of professionalism in all interactions and representations of the company; capability to handle sensitive information with the utmost confidentiality and discretion
  • Problem-Solving Abilities: Learning mindset, critical thinking skills, and an aptitude to anticipate needs, identify/analyze issues, and propose solutions independently
  • Attention to Detail: Thoroughness in all tasks, including document preparation, scheduling, and correspondence.
  • Tech Savvy: Proficiency in office software (e.g., Google Workspace, Slack, Jira) and the ability to learn new technology quickly
  • Adaptability: Flexibility to adapt to changing priorities and work under pressure to meet deadlines
  • Initiative and Proactiveness: Willingness to take initiative, anticipate needs, and suggest improvements to streamline processes; capacity to find solutions independently and efficiently
  • Project Management Skills: Experience in coordinating projects, meetings, and events
  • Team Collaboration: Ability to build and maintain effective working relationships with all colleagues and external partners; work effectively with other administrative team members to ensure smooth operations
  • Cultural Sensitivity and Awareness: Understanding and navigating diverse work environments with sensitivity and respect
  • Bachelor’s degree in business, finance, or related field strongly preferred
