Our plan is for this to start as a contract role and become a full-time role for the duration of the program, which has it's first pilot starting in the next few weeks.

Primary Responsibilities

The Administrator will manage the admissions process and coordinate cohorts during the training and follow-up phases of the program. This individual will play a crucial role in ensuring the smooth operation of participant management and supporting learner engagement efforts.

Key Duties & Responsibilities

1. Admissions Management (First 1-2 Months of Each Cohort Intake)

  • Participant Admissions: Manage the end-to-end admissions process for program participants.
  • Eligibility Verification: Ensure participants meet all eligibility criteria and confirm their registration.
  • Documentation: Maintain accurate records of participant applications and status updates.
  • Participant Communication: Serve as the primary contact for applicants, addressing queries and concerns during the admissions phase.
  • Coordination with Tamkeen: Regularly update Tamkeen on admissions progress and participant lists.
  • Organize informational sessions for potential participants as-needed.

2. Cohort Coordination (During and Post-Course Period)

  • Attendance Tracking: Monitor and follow up on learner attendance during in-person sessions.
  • Progress Monitoring: Track and document participants’ progress on required tasks and assignments during the course.
  • Engagement Strategies: Assist with the development and implementation of learner engagement strategies in collaboration with facilitators.
  • Post-Course Engagement: Follow up with graduates during the 12-week post-course phase to monitor placement activities, track key milestones, and ensure timely reporting of outcomes.

3. Reporting & Record-Keeping

  • Maintain up-to-date records of attendance, assignment submissions, and placement activities.
  • Provide regular reports on cohort progress, learner engagement, and post-course outcomes to the program management team and Tamkeen.

4. Employer Liaison

  • Reach out to local and regional employers in cooperation with other Localized team members to increase placement opportunities for program learners.
  • Work with Localized team members to coordinate a career fair for learners.
  • Prepare and execute employer outreach activities
  • Work with any third-party providers to collect and align any learner data

Required Qualifications and Skills

  • Strong organizational and administrative skills.
  • Ability to manage and coordinate large cohorts of participants.
  • Excellent communication and follow-up skills.
  • 2+ years of experience in program coordination, project management, or administration.
  • Experience in education or training programs is a plus.
  • Proficiency with Google Workspace and data management tools.
  • Comfortable working in a fast-paced environment with multiple priorities.
